How Smartcat AI chat automates and scales your localization workflows
Overview
The Smartcat AI chat helps you scale localization without building a bigger team or adding more tools. The chat is powered by a multi-agent system of AI Co-workers that handles the setup, coordination, and execution behind the scenes, so growing into new markets and languages does not require proportionally more people, vendors, or operational overhead.
Traditionally, scaling localization means more project managers, more vendor relationships, more handoffs, and more coordination overhead. Every new language, every new content type, and every new market adds manual work. The Smartcat AI chat absorbs that complexity.
Working across multiple languages in parallel
You can run work across multiple languages in parallel, whether you work with 10, 15, or 25 languages at once. When you submit a request for multiple target languages, Smartcat launches workflows for all language pairs simultaneously. It applies the appropriate Translation Memory (TM) and glossaries for each language and delivers results as they become ready.
This is fundamentally different from the traditional approach, where you would set up separate tasks for each language, track progress individually, and assemble results manually. The AI Co-workers coordinate all of this automatically.
Bringing in additional capacity when needed
You can bring in additional capacity when needed and involve expert linguists from Marketplace for specific markets, all within one platform. Whether you need native reviewers for a particular locale, subject-matter experts for technical or legal content, or additional translators to handle a volume spike, Marketplace provides access to vetted professionals that you can engage directly within your workflow.
That means you are not limited by your in-house resources or forced to manage separate vendors and workflows. You do not need to maintain relationships with multiple agencies, negotiate rates separately, onboard freelancers through different tools, or manage different quality processes. Your internal team, Marketplace experts, and AI Co-workers all work together in one place, with shared translation memories, glossaries, and quality settings.
Automated setup and coordination
Smartcat takes care of the setup and coordination behind the scenes, so you do not have to manage everything manually. When you describe what you need in the chat, the AI Co-workers determine the best workflow, create and configure the project, apply the right linguistic assets, and move work through each stage, from file preparation through translation to delivery.
-
If a workflow involves review steps, Smartcat assigns reviewers
-
If your Translation Memory has high matches, those are applied automatically
-
If glossary terms are relevant, they are enforced
All of this happens without manual configuration at each step.
You can stay focused on the outcome while Smartcat handles the process. Instead of spending your time on project setup, file routing, status tracking, and vendor coordination, you define the goal and the AI Co-workers figure out the most efficient path to get there.
Getting started
Describe what you want to do in the chat, and Smartcat gets it done. For example:
-
"Translate these files into 15 languages"
-
"Localize this content for the European market"
Smartcat takes it from there.
Get started with the new Smartcat AI chat
Overview
The Smartcat AI chat is a new way to work in Smartcat, but you can still do everything you are used to. All your existing projects, Translation Memories (TMs), glossaries, project templates, assignment templates, and workflow configurations remain exactly where they are. Nothing has been removed, moved, or changed. The Smartcat AI chat gives you a faster, more intuitive way to access and use all of these capabilities.
The biggest change is that instead of going through project creation forms, configuration screens, and multi-step wizards, you now have a conversational chat. You describe what you need, and Smartcat handles the setup and execution.
How to start working
-
Open the Smartcat AI chat
-
Describe what you want to do, or upload your files in the chat. For example: "translate these files" or "localize a video"
-
Respond to any follow-up questions Smartcat asks, such as target languages, which template to use, or the quality level you want
Smartcat takes care of the setup: it chooses the right workflow, creates a project, and either gives you the result or guides you to the next step.
You do not need to learn special commands or a new syntax. Describe what you need the way you would explain a task to a colleague. Smartcat interprets your request, matches it to the right workflow from your workspace configuration, and proceeds.
What happens behind the scenes
When you send a message or upload a file, Smartcat analyzes your request and determines what you are trying to accomplish. It then selects the appropriate workflow based on your content type, workspace configuration, and existing templates. If any required information is missing, such as target languages, quality settings, or a specific template preference, it asks you. Once everything is confirmed, the workflow launches and runs through all configured steps automatically, including translation, review, and formatting.
You see a natural conversation, but behind it is a structured workflow running reliably using all of your existing settings.
Using shortcuts for a quicker start
If you prefer a quicker start, you can use shortcuts. They kick things off with a pre-configured setup in chat. Shortcuts are entry points for common tasks. When you click a shortcut, it is as if you typed a specific request: Smartcat immediately knows what you want and starts the workflow with the appropriate configuration.
Shortcuts are especially useful when you already know exactly what you want to do and want to skip the conversational step. They use your existing templates and configurations, so the result is identical to describing the task manually, only faster.
Your existing configurations carry over
📌 All of your existing settings are automatically available.
-
Project templates are matched to your requests automatically. When you describe a task, Smartcat finds the right template and applies it, the same template you would have selected manually
-
Translation Memories and glossaries are applied to every project, using the same matching rules you configured previously
-
Assignment templates define how translators and reviewers are assigned. If you have automatic assignment configured, it works the same way
-
Workflow steps (translation, review, editing, approval) run exactly as defined in your templates. Nothing is skipped or modified unless you explicitly ask
Staying in control
Smartcat handles setup and coordination, but you are always in control. You can review the workflow selection before it starts, change parameters, switch templates, or adjust settings at any point.
⚠️ Nothing irreversible happens without your confirmation. If something requires your input, Smartcat always asks before proceeding.
Localize a website or full course through the Smartcat AI chat
Overview
The Smartcat AI chat helps you localize complex content like websites and full courses without breaking the process into separate tools and steps. The multi-agent system handles the entire workflow — from ingesting your content to delivering localized output — through a single chat conversation.
This matters because websites and courses are not just text. They contain structure, formatting, navigation, embedded media, interactive elements, and context that affects how content should be translated. Traditional localization approaches often require extracting text into separate files, translating them out of context, and reassembling the content back into the original format — a process that is slow, error-prone, and loses the visual and structural context translators need.
Website localization
You can bring your content into one place and work with it as a whole — not as disconnected strings. For websites, you can see a live preview and edit content directly in context. This means translators and reviewers see exactly how translated text will appear on the actual page — eliminating guesswork about character limits, layout constraints, and visual context.
The AI Co-workers handle the technical side: crawling your site, extracting translatable content while preserving HTML structure and metadata, applying Translation Memory (TM) and glossaries, running the translation, and delivering localized pages that maintain the original design and functionality.
This makes it much easier to prepare content for new markets at scale, whether you are launching in a few languages or 10+ at once. Adding a new target language does not require repeating the entire setup — Smartcat reuses the existing configuration and applies it to the new language pair.
Course and SCORM localization
For courses, you can work with the entire SCORM package and adjust all parts of it in one workflow. SCORM packages typically contain many interconnected components — HTML pages, images, audio, navigation, assessments, and metadata. Localizing a course traditionally means unpacking everything, identifying translatable elements across all these files, translating them separately, and reassembling the package while making sure nothing breaks.
Through the Smartcat AI chat, Smartcat processes the full package as a unit. It identifies all translatable content, preserves the structure and interactivity, applies translations, and delivers a ready-to-use localized course. This is particularly valuable for organizations rolling out training across multiple regions and languages at the same time.
Other content types
You can also localize videos, documents, and other content types in Smartcat:
-
Video localization supports subtitles, voiceover, and dubbing
-
Document translation preserves formatting across various file types
-
Image localization handles embedded text
Beyond translation, Smartcat is gradually expanding into content adaptation — so your content can better fit each market, not just be translated. Content adaptation means adjusting tone, cultural references, units, date formats, and other locale-specific elements so the content feels natural in each target market.
Getting started
Describe what you want to localize in the chat, and Smartcat will help you get it ready for your target markets. You can upload files, share a website URL, or describe the content you need localized — and the AI Co-workers will determine the best approach and walk you through the process.
New things you can do in the Smartcat AI chat
Overview
You can now get more done in Smartcat by describing what you need. The AI chat changes how you interact with Smartcat. Previously, every task required going to the right screen, filling in forms, selecting settings, and clicking through configuration steps. Now you describe your goal in plain language, and Smartcat figures out the best way to accomplish it.
Instead of setting things up step by step, you send files or explain your task, and Smartcat chooses the right workflow and runs it for you. Behind the chat, AI Co-workers coordinate the entire process: understanding your request, selecting the workflow, applying your settings, launching the execution, and delivering the result.
What this changes in practice
The AI chat makes it easier to handle tasks that used to take multiple steps:
-
Creating multilingual courses from your content — Localizing a SCORM course used to mean unpacking the package, extracting all translatable elements, managing translations for each component separately, and reassembling everything. Now you upload a SCORM package and get a localized version back. Smartcat processes the full package (text, images, media, navigation, and assessments) and delivers a ready-to-use course
-
Localizing websites or courses — Website localization used to involve a multi-step setup with separate configuration for crawling, extraction, translation, and publishing. Now you connect your site through the chat, preview translations in context, and launch localization across multiple languages at once
-
Translating PDFs and images while keeping formatting — Formatted documents like PDFs and presentations were challenging because translated text needed to fit the original layout. Now you drop in your file and get a translated version that preserves the original formatting and layout automatically
-
Managing content across multiple languages — Working with many languages used to mean managing separate projects or tasks for each pair. Now you run translation into 10, 15, or 25 languages in parallel. You submit one request and get results for all languages, coordinated and delivered in one place
-
Conversational interaction — Instead of going through forms and screens, you describe what you need in plain language. This is especially useful for ad-hoc tasks, quick translations, and situations where you are not sure which workflow to apply
-
Guided decision-making — You ask questions about available options, supported formats, or recommended approaches. Smartcat explains what is possible and helps you choose the best path for your task
Automatic use of your existing setups
Smartcat can also use your existing workflows and templates automatically as part of the process. When you describe a task, Smartcat looks at your workspace configuration, finds the matching templates, applies your Translation Memory (TM) and glossaries, and uses your workflow definitions exactly as configured.
You do not need to set anything up again. Smartcat applies your existing configurations automatically, so you get the convenience of the conversational interface combined with the precision of your established processes.
What has not changed
All your previous capabilities remain available. The CAT editor, project views, translation memories, glossary management, assignment templates, and reporting all work as before. The chat is an additional way to access and use these features, not a replacement.
Getting started
Send your files or describe your task in the chat, and Smartcat takes it from there.
What the Smartcat AI chat can do
Overview
The Smartcat AI chat is the main way to work with Smartcat. It is built as a multi-agent system — a set of specialized AI Co-workers that work together to take over the manual work behind translation and localization.
When you send a message or upload a file, you are not talking to a single chatbot. Behind the scenes, multiple AI Co-workers coordinate: one understands what you need, another determines the right workflow, another handles the actual translation or content processing, and an orchestrating Co-worker makes sure everything runs in the right sequence. You interact with all of them through a single chat conversation, and you do not need to know which one is doing what.
How it replaces manual work
The traditional way of working with translation and localization involves many manual steps. You would typically need to create a project, upload files, select source and target languages, configure translation settings, choose a workflow, and then wait for results — moving through multiple screens and forms along the way.
Instead of managing files, tools, and workflows step by step, you describe what you need, and Smartcat AI Co-workers handle the process for you. You type what you want in plain language, and they take care of the configuration, setup, and execution.
For example, instead of setting up projects, preparing files, and coordinating steps manually, you can upload your content and get it translated, formatted, and ready for use — or be guided through the next step if needed. If the AI Co-workers need something from you, such as which languages to translate into or which quality level to apply, they ask you directly in the chat.
What you can do through the chat
Beyond translation, you can localize websites, adapt videos, and create multilingual courses — all from the same place. Here is what this looks like in practice:
-
Translate documents and files — Upload files directly in the chat and get them translated into one or multiple languages. The AI Co-workers handle file preparation, translation, and formatting automatically. This works with many file types, including documents, presentations, spreadsheets, PDFs, images, and subtitles. Smartcat detects the file type and selects the right processing approach without you needing to specify anything
-
Localize websites — Connect your website and have the AI Co-workers translate and adapt your web content for target markets. Website localization preserves your site's structure, design, and functionality while replacing the content with accurately translated text. You can preview the result and make adjustments before publishing
-
Adapt videos — Translate subtitles, voiceovers, and video content to make your multimedia assets available in new languages. The AI Co-workers process the video, extract the translatable content, translate it, and produce the output, whether that is translated subtitles, dubbed audio, or both
-
Create multilingual courses — Build and localize training materials, e-learning content, and SCORM courses for global teams. Smartcat processes the entire course package as a unit — text, images, embedded media, navigation, and assessments — and delivers a ready-to-use localized version
-
Get guided assistance — If you are unsure how to approach a task, the AI Co-workers walk you through the available options and recommend the best next step. You can ask what is possible, how to handle a specific content type, or which approach makes the most sense for your situation
Why this matters
In many cases, this removes a significant part of the manual work and helps teams launch content in new markets much faster. The work that used to require moving through multiple screens, configuring settings, coordinating handoffs, and tracking progress now happens through a single conversation. You describe what you need, and the multi-agent system figures out how to deliver it.
Teams that previously spent hours or days on project setup, file preparation, vendor coordination, and result assembly can now reach the same outcomes in a fraction of the time. The AI Co-workers handle the operational complexity, and you focus on the content and the outcome.
